Details you share

When you submit a launch-list request, workplace proposal or investor enquiry, the website sends your details to the company’s server for validation and storage in its enquiry database. The form confirms receipt only after the details have been saved. Submitting a form does not send an automatic confirmation email.

Depending on your enquiry, this may include your name, email address, organisation, preferred London area, workplace postcode, workplace type, approximate headcount and message. Please avoid including sensitive personal information in a message. We also record the enquiry type, submission time and applicable privacy notice version. Launch-list requests include a record of your consent to email updates.

You can also contact us directly by email. In that case, the company receives the information you choose to include in your email.

How your details are used

We use workplace and investor enquiry details to respond and manage the conversation you have requested. Launch update requests include a separate, unchecked consent option. We use launch-list details to send future site, launch and ordering updates only with that consent. Joining the launch list does not create an order or a website account.

The lawful basis for requested launch and ordering updates is your consent. For workplace and investor correspondence, we rely on our legitimate interests in responding to enquiries, assessing potential pilot sites and discussing the company’s fundraising. We use the details for the conversation you initiate, with regard to your privacy and reasonable expectations. We also rely on legitimate interests to protect the enquiry service against spam and misuse.

You can withdraw consent to email updates at any time by emailing founder@foodonwheels.uk with an unsubscribe request. You can also ask us to correct your details or explain how your correspondence is kept.

Cookies, analytics and technical information

This website does not use analytics, advertising pixels or non-essential cookies. It does not store form drafts in local storage or a website account.

The hosting service may process technical information, such as your IP address, browser details and request logs, to deliver and protect the site. The enquiry service uses a short-lived hashed email identifier to limit repeated submissions and protect against spam. It does not store an IP address with your enquiry.

Who processes your information

Enquiries are stored in a MongoDB database operated for the company. Database hosting, website hosting and email providers process information as needed to provide their services. If the database is hosted with MongoDB Atlas, MongoDB provides that storage service. Access to enquiry records is limited to people who need it to manage the requested updates or conversation.

The database’s hosting region depends on the company’s selected deployment. Contact us for details of the current hosting arrangements and any applicable safeguards for processing outside the UK.

How long information is kept

Enquiry correspondence is kept only for as long as needed to respond, manage an ongoing conversation or relationship, and meet applicable legal or record-keeping requirements. Launch update details are kept while you want those updates and the purpose continues. If you unsubscribe, a minimal record may be kept to respect that request.

You can ask about the information held for your enquiry, or request its deletion, by emailing founder@foodonwheels.uk.

Your information and your choices

You can contact us to request access to, correction of or deletion of personal information, withdraw email update consent, or raise a concern. Some requests may be subject to applicable legal requirements. We may need to confirm your identity before responding.

You may also request restriction of processing, object to processing based on legitimate interests, or request a portable copy of your information where those rights apply.

Changes as the service develops

Food on Wheels is pre-launch. If online ordering or additional data collection is introduced, this notice will be updated to explain the relevant processing before that feature begins.
